Congressman Jim Costa (CA-16) seeks an experienced, organized, and highly motivated Scheduler for his Washington, DC, office. Responsibilities include managing all aspects of the Member’s Washington, DC, daily and long-term schedule; making travel arrangements; organizing and responding to all incoming scheduling requests; managing the Member’s time in a productive and timely manner; and coordinating with the District Scheduler to ensure a smooth operation between DC and District Offices.
This is not an entry-level position. The ideal candidate will have prior experience as a scheduler, or executive assistant, whether on Capitol Hill or off. We are looking for a detail-oriented problem-solver who can manage the challenges of an ever-changing schedule with patience and efficiency. The scheduler is responsible for keeping the Congressman and staff informed of any changes in the schedule immediately throughout the day via phone, text message and emails; preparing and sending detailed itineraries for the Member of Congress and staff, including important numbers, locations and contact names; and briefing the Member of Congress on all scheduling activities and requests through weekly scheduling meetings; and coordinating scheduling of media interviews, radio and television appearances with the communications team. This position may require flexible hours and availability by phone during evenings and weekends. Familiarity with IQ, Outlook 365, MS Teams, Zoom, Webex is preferred.
